Creating Alerts

You can set up Daily and Weekly alerts to send notifications through emails or SMS based on the information in Scheduling +. 

Currently, there are 21 alert types in the system:

  • Schedules Published – Receive an alert when a schedule has been published. This is useful for alerting owners, general managers, and store managers.
  • Max Working Hours – Receive an alert when an employee is about to reach their work limit for the pay period. 
  • Absent Employee – Receive an alert when an employee is absent.
    • Missed Lunch Break In/Out – Receive an alert when an employee misses to clock in or out of their lunch break. 
    • Missed Clock In/Out – Receive an alert when an employee fails to clock in or out.
    • Time Clock Summary - Receive an alert summarizing time clock entries.
    • Timesheet Approval on Pay Period End - Receive an alert when the timesheet approval is required after the end of the pay period.
    • Timesheet Approved by Employee - Receive an alert when an employee approves his/her timesheet.
    • Timesheet Approved by Manager - Receive an alert when a manager approves an employee's timesheet.
    • Repeating Shifts More Than a Week - Receive an alert when an employee repeats the same shifts for over a week.
  • Daily Sales Metrics – Sends daily sales metrics emails.
  • Weekly Sales Metrics – Sends weekly sales metrics emails.
  • Weekly Hot Floor – Sends weekly hot floor report via email.
  • Expired POS Data – Receive an alert when POS data has expired.
  • New Time Off Request – Receive alerts to new time off requests as your employees create them in the system.
  • Missed/Uncompleted Tasks– Receive an alert when an employee's assigned tasks are missed or incomplete.
  • New Employee Registration - Receive an alert when a new employee is registered.
  • New Drop/Swap Request - Receive an alert when a new shift drop or swap request is submitted.
    • Drop/Swap Request Processed - Receive an alert when a new shift drop or swap request is processed.
  • New Open Shift Request - Receive an alert when a new open shift request is submitted.
  • Open Shift Request Processed - Receive an alert when a new open shift request is processed.

Setting Up Alerts

If you have access to more than one store, select the store from the menu bar.

From the menu bar, select the Settings splus_gear_settings_icon.png icon. The system displays the Settings menu.

Select Alerts.

You can now see the list of alerts added to the system if any. You will notice details for each, including delivery method (Email and SMS), Recipients, and whether or not the alert is active.

You can use the Scope drop-down to filter alerts further.

To create a new alert, select +Add Alert at the top right. The Create Alert popup appears.

Choose the alert type (Daily Metrics, Weekly Metrics, Working Hours, Time Off Requests), delivery method, scope, recipients, and any additional information that is required for special alerts. For example, the Max Working Hours report requires that you set the number of minutes before the employee hits their max to alert you. If you want to know 2 hours beforehand, you would enter 120.

When you are finished filling out the information, select Save.

Additional Settings for Alerts

The following alerts have some additional settings available for you to configure.

Missed Lunch Break In/Out

  • Enable Meal Out – Enable to alert management when an employee fails to clock out for lunch at the designated meal break time.
  • Enable Meal In – Enable to alert management when an employee fails to clock back in from lunch at the designated meal break end time.

Missed Clock In/Out

  • Number of Minutes After Which the Alert Should be Generated – When the system should send the alert.
  • Enable Clock In – Enable to alert management when an employee fails to clock in for their scheduled shift start time.
  • Enable Clock Out – Enable to alert management when an employee fails to clock out at their scheduled shift end time.

Max Working Hours

  • Number of Minutes Before Which the Alert Should be Generated

Absent Employee,  Missed Lunch Break In/Out, and  Missed Clock In/Out Alerts

  • Number of Minutes After Which the Alert Should be Generated

Time Clock Summary

  • Select the hour when the Alert Should be Generated

Expired POS Data

  • Number of Days After Which the Alert Should be Generated

Repeating Shifts More Than a Week

  • Tolerance (minutes)
